Position:

Procurement Coordinator

Location: 

GRS – Head Office (Isando)

 

Reporting to: 

Head of Supply Chain

 

An opportunity exists at GRS – Head Office for a Procurement Coordinator: Isando with the following requirements

 Main purpose of the job

 

The Procurement Coordinator Role is responsible for coordination of procurement activities and stock movement to achieve a synchronized workflow from monitoring inventory levels to escalating required stock and expediting procurement ensuring that operational activities are not delayed.

Qualifications and Experience required

  • Matric 

  • Diploma and or Degree Purchase Management / Supply Chain 

  • Minimum 3 years’ experience in a similar position within the steel / roofing industry is essential. This includes purchasing (local & imports), inventory management 

  • Microsoft Proficiency 

  • Working knowledge and Understanding of Syspro 

  • Knowledge of Steel / Roofing equipment and manufacture 

  • Analytical skills are essential 

  • Excellent interpersonal skills, ability to communicate on all levels are all essential skills to execute this position successfully 

  • Service excellence to internal customer and to a lesser extent external customers is not negotiable, be a team player 

  • Intermediate Excel skills 

  • Aptitude for figures – Math and Numeracy 

  • Inventory Management and Distribution Management of steel products. 

  • Knowledge of roofing and construction or similar products and Raw Material used in Steel Metal Industry 

  • Ability to Prioritize according to deadlines and urgency. 

  • Deadline Driven 

  • Ability to work under pressure. 

  • Conflict Resolution Skills - manage realistic deadlines expectations for procurement with internal stakeholders 

  • Attention to detail and Accuracy of information flow. 

  • Accurate reporting without compromising cost and quality of products. 

  • Ability to build strong relationships with suppliers and internal stakeholders. 

  • Experience of working in an FMCG environment and liaising with all levels of employees and stakeholders. 

  • Excellent oral and written communication skills with both external parties and business audiences. 

  • Ability to correctly interpret Standard Operating Procedures and apply it.

Duties and Responsibilities

  • Ensure that physical stock corresponds with inventory stock on Syspro and no of items dispatched for delivery and distribution. 

  • Own the responsibility of being well informed of particular branch needs, available raw steel raw materials. 

  • Provide Daily, Weekly and Monthly reports on all Sales Orders that are still pending in Production and Sales due to lack of raw material. 

  • Maintain stock levels to ensure production is not delayed 

  • Ensure products and services get delivered on time and meet the required standards 

  • Communicate delivery dates and any delays in receiving purchase orders to the relevant stakeholders 

  • Monitor components for consumables to be ordered and initiate requisition timeously. 

  • Expedite services on Procurement. 

  • Analyse stock on floor daily and propose alternative solutions to custom demands 

  • Identify and coordinate stock to be moved across country to areas of demand 

  • Understand and report on Competitor stock holdings and patterns. 

  • Participate in Stock Take 

  • General Admin and own filing 

  • Uphold GRS code of ethics. 

  • Contribute to GRS Culture.

Key Performance Areas

  • Ensuring that all purchase requirements are pre-planned and ensure no delays 

  • Ensure all Queries are resolved within the specified turn around time. 

  • Daily co-ordination with branches of stock distribution requirements. 

  • All deliveries and or delays are communicated with relevant stakeholders. 

  • Accurate Record Keeping of all Purchase Orders Receipt of stock, Distribution and allocation of stock.

Remuneration

Market Related, commensurate with the Company policy
